Physio Pilates software
Booking software for Australian physio Pilates practices
You spend the day in the clinic and exercise gym, then still have to manually type up health fund receipts. CoreBookings handles bookings and lets you issue a private health insurance claim receipt from the class roll in a few clicks.

Not just another SaaS
Australian support for practices that run clinical classes
Hi, I’m Frank. I’ve been building booking software for over 25 years. I started CoreBookings because physio clinics running Pilates shouldn’t need enterprise clinic suites - or a second admin job retyping provider numbers into invoices every evening.
We’re a small Australian team. When practices get stuck, they often talk directly to me - not a ticket queue on the other side of the world.
- 25+ years building booking software
- Australian company, Australian support
- Practices often talk directly to the founder
- No lock-in contracts
Built for clinical Pilates
1:1 sessions and small-group physio Pilates
Schedule private clinical sessions and supervised group classes, sell term packages, and keep capacity tight. Clients book online; your team stays with patients - not rebuilding the same receipt details at the end of the day.
- Private sessions and small group classes
- Term enrolments for future classes, with easy swaps
- Private health claim receipts from the class roll
- Stripe payments with transparent platform fees
Private health funds
Stop rebuilding the same receipt after every class
If claim paperwork still means Word templates, a shared spreadsheet, or the front desk retyping provider numbers and item codes client by client - you know the drill. Generate the private health claim receipt from the class roll instead: studio details, class date, service and item code, treating practitioner and provider number, and the amount they actually paid.
- Provider details in Settings (once per studio)
- Default service description and item code per class type
- Treating practitioner on each teacher profile
- Amount locked to the client’s real payment
CoreBookings supports claim-ready receipts. It is not a HICAPS/Tyro terminal or a full clinical notes/EMR system.
How it works
You’ve marked attendance - that should be enough
Most clinics don’t need another admin block after class. Mark someone Present and send their claim receipt before you clear the room.
Set it up once
Enter your provider details once in Settings (name, fund provider numbers, accreditation). Tick eligible for claim receipts on each class type with a default service description and item code - so you’re not looking them up every time. Add each practitioner’s treating name and provider number on their teacher profile.
On the day
Open the class, mark the client Present, and click Claim receipt next to their name - same moment you’d note them on the roll, not hours later at the desk.
Confirm and send
Confirm a short pre-filled form: practitioner, service, item code, and the amount they paid - pulled from their booking payment, not retyped from a till slip or bank feed. No second pass to fix typos.
What the client gets
What clients get (and what you stop doing)
- An email with studio details, class date, service, practitioner and provider number, and the amount marked Paid - so you’re not resending attachments from your inbox
- A View & save receipt link to a print-friendly page they can PDF and send to their fund themselves
Mobile app
Clients book from their phone
Patients and clients book sessions, manage packs and check upcoming appointments - fewer calls about “do you have a spot Thursday?”
- Book several classes in one go
- Client booking
- Upcoming sessions
- Memberships and passes
Patients
Clear pass balances, fewer calls to reception
Patients can see how many credits they have in their account when they use the mobile app or book online. They know what’s left on a pack before they book the next clinical class - and your team fields fewer “how many visits do I have left?” questions.
- Remaining credits on passes and packs
- Buy prepaid packs or membership options
- They can book, cancel and rebook themselves
- Upcoming booked sessions in one place
- Book several classes without calling the desk
Why practices switch
Less admin. More time with clients.
Your physios didn’t train to be invoice clerks. If health fund paperwork still lives in Word, Excel, or “I’ll do it tonight”, CoreBookings ties receipts to the class you already ran.
“Cliniko is optimised for healthcare, not for running pass or membership based classes.”
Ditch the end-of-day receipt run
Mark Present, click Claim receipt, move on - instead of batching provider numbers and item codes after the last class.
1:1 and group in one timetable
Run private clinical sessions alongside small-group physio Pilates, with capacity that matches your room and equipment.
SMS when you need to fill a gap
Optional SMS marketing for reminders and open spots. Prepaid credits - you only pay for what you send. SMS marketing.
“Use Cliniko for treating patients. Use CoreBookings for running your Pilates studio.”

FAQ
Questions physio Pilates practices ask
We built this for clinics that outgrew manual receipts but don’t need a hospital-grade EMR. Straight answers on claim receipts, term booking, client statements, reports, provider numbers, SMS, and what CoreBookings is - and isn’t.
Can I generate private health claim receipts for clients?
Yes - and it’s meant to replace the manual workflow. If you’re typing receipts today, set up provider details once in Settings, mark class types as eligible for claim receipts, and add each practitioner on their teacher profile. When the client is in class, mark them Present and click Claim receipt. They get an email and a print-friendly link; you’re not building another PDF by hand.
Can clients be sent an invoice after each class to claim private health insurance (PHI)?
Yes. At the completion of each class, a physio clinic can send the client an invoice/claim receipt from the class roll. They receive it by email with a print-friendly link they can save as a PDF and submit to their private health insurer.
Are we able to add separate provider numbers for each physio running a class?
Yes. Each practitioner has their own provider number on their teacher profile, so the claim receipt shows the treating physio for that class.
What details are on the claim receipt?
Studio details, date of the class, service description and item code, treating practitioner and provider number, and the amount the client paid - pulled from their actual payment in CoreBookings.
Can I generate and email client statements and reports?
Yes. You can generate statements per client and email them from CoreBookings, plus run reports for attendance, sales and cash flow.
Is this a HICAPS or Tyro claiming terminal?
No. CoreBookings helps with claim-ready receipts. It is not a HICAPS/Tyro live-claim terminal and not a full clinical notes or practice-management EMR system.
Can I run 1:1 clinical sessions and group physio Pilates?
Yes. Schedule private sessions and small-group classes on the same timetable, with capacity that matches your room and equipment.
Can I book clients into the same class for a whole term, and swap them if needed?
Yes. Book clients into the same weekly class for a term so they stay enrolled continuously for future classes. If they need to swap for some reason, you can pop them into another class without rebuilding their whole term booking.
Can I send SMS reminders or fill open spots?
Yes. An optional SMS marketing add-on lets you text opted-in clients about reminders, open spots and waitlist moves. Prepaid credits mean you only pay for what you send. See SMS marketing.
Do I need Stripe?
Yes for online card payments. You connect your own Australian Stripe account so payouts go straight to you. Fees are Stripe’s rates plus 1%. You can still allow book-now, pay-later at the practice.
Is CoreBookings an Australian company with local support?
Yes. CoreBookings is an Australian registered company with support in your timezone. Practices often talk directly to the founder.
Is pricing in AUD, and do you handle GST?
Yes. Plans are priced in Australian dollars from A$59/month + GST. Invoices are GST-ready.
I run a commercial reformer studio - is this the right page?
For reformer capacity, waitlists and commercial studio marketing, see our Pilates studio software page. Many businesses use both clinical and commercial class types in one account.
