How to filter and export clients

Use the Clients page to search, filter, and download your studio client list as a CSV file. The export respects your current search and filters, so you can download everyone or a targeted segment such as inactive clients.

Before you export #

Where: Clients

CoreBookings exports clients as a CSV file. You can open CSV files in Excel, Google Sheets, or email marketing tools such as Mailchimp.

The export includes every client that matches your current search and Client Status filter, not just the clients shown on the current table page.

Open the Clients page #

  1. Click Clients in the left sidebar.
  2. Review the client table, search box, and filters at the top of the page.
  3. Click Export CSV in the page header when you are ready to download.

Filter your client list #

Set filters before exporting if you only need part of your database:

  • Search clients... narrows the list by name or email.
  • Client Status options include All Clients, Active (last 30 days), Inactive (30+ days), New (last 7 days), and Never Visited.
  • Pay Later with Outstanding balances only shows clients who still owe for pay-later bookings.

The table shows 50 clients per page. Pagination only affects what you see on screen. Export CSV still downloads the full filtered result set.

Export to CSV #

  1. Apply any search or filters you need.
  2. Click Export CSV.
  3. Wait for the export to finish. Large lists show an Exporting Clients progress dialog.
  4. Your browser downloads a file named like clients_export_YYYY-MM-DD.csv.

If you have more than 5,000 clients, CoreBookings shows a warning before starting the export. Leave the tab open until the download completes.

What is included in the export #

Each row is one client. The CSV includes fields such as:

  • Name, Email, Phone
  • Status, Last Visit, Total Visits
  • First Visit Date, Visits in Last 30 Days
  • Total Spend
  • Next Booking Date, Next Booking Class
  • Joined Date, Client ID

Use these fields to build re-engagement campaigns, reconcile records, or import into another system.

Tips for large client lists #

  • Export during a quiet period if you have thousands of clients. The process fetches every matching record.
  • Use Client Status to export smaller segments, such as inactive clients for a win-back email.
  • CSV is the recommended format. It works with Excel and most marketing platforms.
